The Individual Monitoring Committee (CSI)

The doctoral charter, signed by the doctoral student, their thesis supervisor, and the head of a research unit, explicitly outlines the procedure for monitoring the research project in Article 6. The individual monitoring committee, as amended by the modifying order dated 26 August 2022, applies to all doctoral students as of 1 January 2023.

The ED GRNE council has decided to establish a monitoring committee to support the doctoral students and their supervisors in overseeing their projects. In accordance with the aforementioned order, it has adopted the following procedure:

Composition of the CSI: The composition of this committee is defined by the thesis supervisor(s). It is proposed to the management of the Doctoral School, which approves it. It must include at least one HDR representative from ED-GRNE and an external expert who is not involved in the project or the doctoral student's research unit.

CSI Calendar: It is mandatory to meet before each new registration, from the start of the doctoral program until its completion, as well as in the year of the defense, even if there is no re-registration in the fourth year.

It must take place between June and mid-October to avoid blocking university registration or the thesis defense for the final year of the doctorate.

Expectations and Procedure of the CSI:

For first and second-year CSI students:

• By the end of the first year, the doctoral student will prepare at least one manuscript of 15 to 20 pages, outlining the main progress of their work and the prospects for the remaining duration of the doctoral contract. A report on the Individual Training Plan will be presented at each stage. This manuscript must demonstrate, by the end of the first year, that the doctoral student has taken ownership of their subject, identified the key issues, and situated it within the current state of the art. The manuscript will be sent one week in advance to the members of the Scientific Committee and the thesis supervisors.

• By the end of the second year, the CSI manuscript will mainly focus on the perspective of a first publication necessary for the presentation defense, and on the schedule for the final year of the thesis. This manuscript will be sent to CSI members and thesis supervisors one week in advance.

A presentation of 15 to 30 minutes that will cover the main points of the written document and initiate the discussion.

The interview must include a private initial exchange between the CSI members and the doctoral student, followed by a second with the supervisory team. The ED representative will provide a report of the exchanges (see documents below) at the end of the meeting and forward it to the doctoral student, who will then upload it into the ADUM management tool.

• For the final Year 3 CSI (without re-registration in Year 4), no specific report is required, but progress updates and a provisional schedule must be presented to the Monitoring Committee. This CSI is mandatory for Year 3 defense, so it should be planned in advance to meet the deadlines for the defense (.

For re-registration in Year 4:

The favorable opinion of the CSI must accompany the request for re-enrolment in the 4th year. For this CSI, no specific report is required, but progress updates and a provisional schedule must be presented to the Monitoring Committee.

Regarding the derogation itself, the amending order of August 26, 2022, states: For re-enrollment in the 4th year, a progress report on the work is required, which will be submitted for review to the Director of the Doctoral College at Sorbonne University.

Special case of doctoral contracts from January to June:

Doctoral students must re-register at the beginning of the university year in September, even if they registered earlier in the calendar year. They will need to organize a CSI between June and mid-October and re-register for their second year at the start of the university year in September.

In summary, the CSI is required (from June to mid-October of the 1st, 2nd, and 3rd years) before each re-registration or defense.
